The Dental Assistant reports to the Dental Director. The Dental Assistant assists the Dental Director in the facilitation and coordination of Plan of Improvement (POI) activities. This position requires employee to be knowledgeable of and follow all facility policies and procedures. The Dental Assistant performs complex administrative support and technical Settlement Agreement assistance for the Dental Department.
The Dental Assistant II is responsible for performing highly complex dental assistance work under the supervision of the dentist to perform general dental assisting functions and other work required. Maintains all equipment within the clinic to ensure it is in proper working order. Work involves assisting dental staff, assisting in taking and developing x-rays, and maintaining the cleanliness and orderliness of a clinic. May train others. Position works with moderate latitude for the use of initiative and independent judgement.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
The Dental Assistant is responsible for quality improvement activities on-behalf of and in collaboration with the Dental Director to assist the facility in achieving and maintaining compliance with ICF standards and the provisions of the Settlement Agreement. These activities include:
- Data entry, compilation of data, and development of routine reports for review by department and facility leadership.
- Maintenance of the departmental data listing.
- Organization and compilation of both pre-visit document request and on-site document request.
- Maintenance of the Self-Assessment, Provision Action Information, Action Plans, and the Presentation book.
- Reviewing and analyzing reports as a result of the semi-annual monitor's visits.
- Assist Dental Director with development of plans to achieve substantial compliance.
- Coordinating routine meetings to review completed reports, assist lead with any technical support needed to facilitate the analysis of the completed report, work with lead to develop and/or revise corrective action plans based on analysis of data.
- May be responsible for some monitoring as a reliability source to validate data.
- Responsible for attending assigned department QA meeting, Quality Improvement Council Meetings as an observer, and Face to Face meeting each month.
- Responsible for conducting educational programs for the prevention and control of dental diseases, and ensuring maintenance, cleanliness, and orderliness of the Dental Clinic.
- Schedules individuals to be seen by the dentists or the hygienists.
- Responsible for documentation, charting and record keeping.
- Provides assistance to the hygienists and dentists using dental assisting skills.
- Responsible for sterilization and maintenance of dental equipment and instruments.
- Must be able to capably perform CPR as needed.
- Other related duties may be assigned which are related to the essential functions and general description of this position.
- Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
- Excellent verbal and written communications, including proper business English usage, spelling, grammar and punctuation.
- Ability to communicate both in writing and verbally.
- Skills in building and maintaining effective working relationships, exercising professional judgement, tact, discretion, and diplomacy.
- Experience in developing document management/tracking systems.
- Skill in independently prioritizing, planning, coordinating, and organizing multiple tasks simultaneously and quickly adapting to changes in timeframes.
- Ability to attend work on a regular basis with flexibility to meet changing workloads. Highly proficient computer skills including Word, Excel, Outlook, and SharePoint.
- Ability to follow written and oral instructions, and ensure all deadlines are met.
- Ability to take initiative to improve processes, respond to urgent issues, maintain confidentiality.
- Ability to use initiative and independent judgment within established policies and procedural guidelines.
- Ability to develop/implement administrative procedures and to evaluate their effectiveness; and to interpret complex rules, regulations, policies, and procedures.
- Ability to learn and become knowledgeable of dental instruments, equipment, and materials and their uses; of sterilization methods; of x-ray film development techniques; of dental terminology; and of dental hygiene and prophylaxis.
- Skill in the use of dental tools and equipment.
- Ability to assist staff in performing dental procedures; to communicate effectively; and to train others.
Registrations, Licensure Requirements or Certifications:
Dental Assistant Certification is preferred but is not required. (Must obtain a valid registered dental assistant certification and registered dental assistant X-Ray certification within 12 months of hiring.)
Initial Screening Criteria:
Graduation from an accredited high school or GED.
One year of experience in an office setting using a computer and computer applications.
Experienced and proficient at using excel to create spreadsheets and graphs.
Experienced and proficient at using Microsoft Word and Outlook.
Prefer one year of experience working with persons with intelligential disabilities.
Additional Information:

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
