The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The Unit Clerk works under the direct supervision of the Unit director. The Unit Clerk will work occasional flex hours as the need arises. The Unit Clerk is responsible for working harmoniously with peers, unit staff and other facility staff at all times. Responsibilities of this position include:
• Filing and maintaining client records according to ICF/MR requirements and regulations.
• Computing ICF/MR staffing ratios,
• Maintaining assigned unit's virtual client folders up to date.
• Typing for professional staff and receptionist duties:
• Serving as back-up unit clerk to sister unit.
Essential Job Functions (EJFs):
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
• Files reports in Virtual Client Folders to ensure the availability of pertinent information for use by facility staff. (15%)
• Files reports and forms in client records to ensure the availability of pertinent information for use by facility staff. (15%)
• Thins client records per facility retention schedule in order to maintain the charts in good condition. (15%)
• Calculates and maintains unit staffing ratios for use by administration and outside agencies as needed. (10%)
• Informs supervisor of the receipt of monthly assessment data and monthly filing data from designated unit and facility staff. (10%)
• Enters monthly assessment data in facility databases in order to track facility compliance with applicable internal and external audits. (15%)
• Performs other tasks as assigned to maintain client records according to ICF/MR requirements and regulations. (20%)
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations Plan (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
List the knowledge, skills, and abilities critical to performance in this position:
• Individual should have experience in office or related clerical work
• Must be able to type thirty-five to forty words per minute.
• Working knowledge of routine office practices and procedures.
• Working knowledge of business English, Spelling, Punctuation, Math.
• Skills in operating standard office machines.
• Ability to organize materials and activities
• Ability to deal with the public and co-workers in a pleasant, effective manner.
• Experience in working with computers.
• Ability to understand and carry out moderately complex oral and written instructions.
Registrations, Licensure Requirements or Certifications:
Valid Texas Driver's License is required.
Initial Screening Criteria:
High School diploma or GED equivalent.
Minimum of 3years work experience in a records/clerical setting.
Experience in the following written instructions.
Related work experience may substitute for the required education on a year-to-year basis with a maximum substitution of 2 years.
Experience using a personal computer for inquiry and date entry.
Experience in time keeping and payroll preferred.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
