The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Works with surgery nurse and Radiology staff to prepare surgery and procedure permits; works with appointment clerk to schedule appointments, assemble consultant packets, and send out appointment information to designated staff; assist with Medicare to assure maximum reimbursement from Medicare is obtained; acts as back-up to appointment Clerk.

Essential Job Functions (EJFs):

 

Attends work on a consistently regular basis.

 

Answers phone and takes accurate messages; accurately answer questions, being mindful of confidentiality laws that governs release of information. 

 

Accurately complete surgery permits/procedure permits, assuring that the correct permit is used and that the correct diagnosis, surgery/procedure, and adverse effects are listed on the permit. Assure that verbal consent is obtained only from the legally authorized person; accurately complete notification forms; and complete letter and send permit to obtain follow-up written consent.  Assure permit is entered into consent tracker and that tracking continues until the signed permit is returned from the guardian/next-of-kin. 

 

Accurately compile consultant packets, assuring that the information included is the information needed and/or requested by the consultant; assure that paperwork and consents for appointments are accurately completed and signed; and that the yellow sheet for the appointment is accurately completed with the correct address for the consultant and with the correct date/time of appointment.   

 

Accurately abstracts provider office visits and accurately code the diagnoses for the office visit using ICD-10-CM codes and code office visits with the accurate CPT code so that maximum reimbursement can be obtained.

 

Serves as backup to other clerical support personnel when the are unable to come to work.

 

Other duties as assigned by supervisor which may include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.  Such participation may require an alternate shift pattern assignment and/or location.

 

Knowledge, Skills and Abilities (KSAs):

 

Experience working with an electronic medical record.

 

Knowledge of medical terminology and anatomy and the IDC-10-CM and CPT coding systems.

 

Knowledge of Medicare rules and regulations.

 

Ability to accurately enter data into existing IRIS scheduling system.

 

Ability to organize and prioritize job duties. 

 

Ability to prepare and maintain detailed records, files, and reports.

 

Registrations, Licensure Requirements or Certifications:

 

None

 

Initial Screening Criteria:

 

Education equivalent to a high school diploma required.

 

Post High School training in Medical terminology, anatomy, and ICD-10 CM coding and CPT coding systems

 

At least two years of paid work experience in a clerical position which included using computer for word processing, spreadsheets, or data entry, preferable in a medical office/hospital environment.

 

Experience working with an electronic medical record.

 

Additional Information:

 

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).

 

Males between the ages of 18 – 25 must be registered with the Selective Service.

 

All State Supported Living Center Employees are subject to Random Drug Testing.

 

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
