Clerk II: Performs routine administrative support and/or technical program assistance work. Work involves disseminating information, maintaining filing systems, and general administrative support work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment. Under no circumstances shall an employee of the facility be authorized to sign checks for a non-profit organization on behalf of a facility to fundraise.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
1) Routine administrative support and/or technical program assistance work, moderately complex secretarial/clerical work in areas such as bookkeeping, inventory control, statistics, purchasing and accounting.
2) Answers all phones, types and edits correspondence, letters, and reports; handles all incoming and outgoing mail directly. Orders office supplies and enters work orders for Community Relation office, Country Store and Family House.
3) Responsible for maintaining insurance renewals and contracts on leased office equipment for VSC and training staff on use of equipment.
4) Serves as department receptionist.
5) Responsible for receipting donations, processing cash and non-cash paperwork. Sends donation acknowledgement. Generates thank you letters and memorial cards.
6) Handles reservations for the Family House, Housekeeping for Family House and for Volunteer Services Council events.
7) Prepares for regularly scheduled events in the Community Relations office including: monthly marker & wrapper volunteers groups, bi-weekly County Store volunteers and monthly VSC board and fundraiser meetings.
8) Develops, coordinates and maintains accounts receivable and payable. Responsible for all cash donations. Enters financial data for budget reports and reconciliation. Audits VSC inventories. Coordinates with the accountant for the VSC for the completion of annual audit and 990s preparations of the IRS. Coordinates with the bookkeeper for the VSC for the completion of monthly financial reports. Compiles data for quarterly and annual VCE reporting.
9) Cooperates with the Volunteer and Community Engagement to provide accurate and timely information on behalf of the VSC. Process and record all VSC funding requests. Resource vendors and generate VSC Purchase Orders. Disperses and tracks VSC petty cash, writes out checks & mails off, prepares deposits.
10) Assists with planning, production, coordination, and other work as needed for VSC special events.
11) Responsible for overseeing Birthday-Christmas Gift Program: maintains Birthday & Holiday calendar, includes shopping for gifts requests, gathering requests from dorms, scheduling Holiday Wrap parties, hosting holiday wrap parties and assisting volunteers. Coordinates with recreation department for distribution of Birthday and Christmas gifts.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Knowledge of office practices and administrative procedures.
Skill in the use of computers.
Knowledge of Quick Books Pro, Simple Accounting, or other software bookkeeping programs.
Flexible hours for Special Events.
Some knowledge of non-profit organization and fundraising.to effectively communicate information to others and understand/carry out instructions.
Registrations, Licensure Requirements or Certifications:
None.
Initial Screening Criteria:
High School Diploma/GED required.
Experience in clerical or administrative work.
Experience working with computer programs.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).

All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
