The Administration Clerk III serves as administrative support for the Superintendent and Asst. Superintendent of Rio Grande State Center (RGSC). Performs responsible and complex administrative secretarial work, serves as intermediary in carrying out delegated administrative detailed duties. Work involves support and technical program assistance work for the Superintendent and Assistant Superintendent including correspondence, phone calls, reviewing mail, preparing mail outs, maintaining databases, filing, timekeeping, travel, and recording/transcribing dictation. Acts as scribe/recorder for assigned committees/teams. This responsibility includes coordinating all aspects of the meetings (agenda, meeting packets, follow-up assignments, etc.). Position supports a busy, multitasking office which is fast-paced, deadline oriented, and works with all levels of staff. Will read e-mail, checking and alerting appropriate persons of deadlines, organizing offices and files, and any other tasks needed to keep the offices organized due to the complexity of operating two different service components. Prepare business travel arrangements when required. Will perform other duties as assigned to accommodate business needs. Must be able to work in a fast-paced environment, adapt to changes, and have good interpersonal skills. Employee must understand that duties and hours of work may change to meet the needs of the office and facility. Compliance with HHSC Immunization Policy required: serologic evidence of immunity to, or documented evidence of vaccination against, measles, mumps, rubella, varicella (chickenpox), Tdap, annual vaccination against influenza (and hepatitis B if applicable). Employee actively participates and/or serves in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
