The General Medical Services Administration Assistant II performs routine (Journey level) administrative support work. Work involves disseminating information, maintaining filing system, and performing internal administrative support work, including but not limited to, typing general correspondence, attending and preparing minutes for GMS QIT meeting, turning in work orders, ordering medical equipment, help with maintaining medical equipment compliance and maintenance, and preparing and editing reports and documentation. Creates, maintains, and enters information into databases. Compiles data for charts, graphs, databases, summaries, or reports. Works under moderate supervision of the GMS Manager, with limited latitude for the use of initiative and independent judgement. Communicates regularly with internal and external entities. Fills in for the Clerk II during their absence. Other duties may include, but not limited to reception duties, ordering medical equipment and supplies with state credit card, ordering office supplies, and the coordination of confidential office supplies. Performs related work as assigned. Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Must understand that duties, location of work, and shift pattern are subject to change as determined by the administration to meet the needs of the hospital. Must understand that the duties may include exposure to blood and other potential infectious material.
This position may also be eligible to earn additional pay for work performed on maximum security locations.
Essential Job Functions (EJFs):
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Prepares and disseminates information concerning GMS Services and staff as directed by the GMS Manager.
Prepares, edits, and distributes correspondence, reports, studies, forms, and documents as directed by the GMS Manager.
Performs general office duties such as filing, answering, and routing phone calls, routing mail, and ordering and maintaining office supplies.
Ordering and maintaining medical equipment and supplies.
Assists in planning GMS QIT meeting including forming agendas, completing meetings, and submitting approved minutes to QM.
Creates, maintains, and enters information for GMS departments into databases and reports including the GMS Medical Equipment database.
Assist in development if administrative and technical aspects of policies and procedures.
May assist the Radiology department in performing EKG's preparing/sending reports, and data collection as needed.
Maintains records and files, both hard copy and EMR, as directed by the GMS Manager.
Assists in researching, composing, designing, and editing documents as directed by the GMS manager.
Performs related work as assigned.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or Continuity of operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Knowledge of office practices and administrative policies and procedures
Knowledge of General Medical Terminology, equipment, and concepts.
Skilled in the use of standard office equipment and software
Skilled in the use of EKG machines.
Ability to communicate both orally and in writing.
Ability to establish and maintain effective working relationships.
Ability to handle multiple priorities simultaneously.
Skill in compiling and analyzing data.
Ability to keep complex and confidential records; to prepare automated forms and tables.
Ability to take minutes and type reports.
Ability to implement administrative systems and procedures and to interpret rules, regulations, policies, and procedures.
Registrations, Licensure Requirements or Certifications:
TX driver's License
Initial Screening Criteria:
Graduation from high school or GED
Five years working as clerk/secretary.
Experience using Microsoft word, excel, and Outlook.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
