The Administrative Assistant II is supervised by the Admissions & Placement Coordinator. He/she is responsible for supporting the daily operations and activities for the administrative office. This position provides complex administrative and/or technical assistance to the department. Performs routine services and technical assistance work related to individuals moving from and to the State Supported Living Centers to community settings. Assists with the Community Living Discharge Planning (CLDP) process and developing the transition plan. Assists with preparing admissions, transfers, and discharges documents, and other duties as assigned. Responsible for ordering supplies; opening and distribution of mail. Maintenance of copiers, docu-centers and fax machines; completing travel requests and vouchers; preparing routine and special reports for State Office with deadline tracking. May serve as support staff and/or backup for other departments.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Supports and assists the Admissions & Placement Coordinator in the day-to-day operation in planning, organizing and executing responsibilities to meet short and/or stringent deadlines and schedules.
Performs complex administrative support and/or technical related work assuring that all placements & admissions policies are met.
Performs required audits, tracking and monitoring of facility requirements.
May assist as support staff and/or backup for all departments falling under the Assistant Director of Programs supervision.
Performs additional duties as assigned by the Admissions & Placement Coordinator and Assistant Director of Programs as needed to effectively serve the department.
Orders supplies and equipment as needed for department.
Maintains and schedules meetings for Admissions & Placement Coordinator in Outlook.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Working knowledge and skills in computer software programs: Microsoft Office, Word, Excel, Access, Outlook Email System, PowerPoint, PeopleSoft, as well as calculator, fax and Docu-Centers.
Knowledge and application of general business procedures.
Ability to develop and maintain accurate spreadsheets, databases, and records with a high degree of accuracy.
Ability to produce accurate and timely minutes of administrative meetings.
Ability to maintain and respect confidentiality of sensitive information regarding staff and people who live at the facility.
Ability to communicate effectively with staff and the public and to maintain a professional, friendly, harmonious working environment.
Ability to practice effective time management and to ensure deadlines for reporting requirements are met.

Initial Screening Criteria:
Graduation from an accredited high school, plus three (3) years of secretarial work experience. Each year (30 semester hours) of accredited college work in a related field may be substituted for the required work experience, on a year for year basis.
College or Business school courses preferred.
Experience working in an office environment.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).

All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
